Problem

The app assumed a desk. Long forms, small targets and required fields that could only be answered back at the depot meant work was recorded hours after it happened.

Anything captured without signal risked being lost, so engineers kept a paper backup - which defeated the point of the app.

Approach

  1. 01

    Observed real shifts before designing

    Watched tasks completed on site: gloves on, screen in daylight, one hand free. Those constraints set the target sizes, contrast and step length for the whole app.

  2. 02

    Reduced a task to a short checklist

    A task is a sequence of small confirmations, not a form. Each step is answerable in seconds, and progress persists between steps.

  3. 03

    Treated offline as the normal state

    Capture always succeeds locally, sync status is stated plainly, and nothing blocks completion because of connectivity.

Key UX decisions

  • Today first, everything else behind it

    The default screen is the current shift with three filters. Anything historical lives in activity, so the primary surface never grows.

  • Report a blocker as a first-class action

    Blocked work is real work. Giving it a primary-adjacent action stopped engineers abandoning tasks silently.

  • Evidence capture before free text

    Photos are faster than typing on site. The update screen leads with capture and treats notes as optional context.

  • Explicit, honest sync state

    A persistent, unalarming indicator says what has been stored and what will sync. Trust in the app replaced the paper backup.

Outcome & impact

Work is recorded where it happens: a task can be opened, completed and evidenced in a handful of taps, with or without a connection.

The checklist, capture and sync patterns became a shared mobile foundation for other field-facing workflows.

Some product names, data, and details have been anonymized or represented for confidentiality. The case studies reflect real design challenges, decisions, workflows, and outcomes from my professional experience.
